Eind 2022 is het provinciebestuur Vlaams-Brabant gestart met het gebruik van Kadanza, een cloudgebaseerde Digital Asset Management (DAM)-oplossing voor het centraal beheren en consulteren van digitale content en assets. Vandaag wordt deze oplossing voornamelijk gebruikt door de communicatiedienst en de dienst toerisme voor het beheer van fotomateriaal. Binnen het provinciebestuur beheren echter ook andere diensten een aanzienlijke hoeveelheid digitale content, zoals foto’s en video’s.
Deze is momenteel vaak verspreid over verschillende platformen (zoals netwerkschijven, SharePoint, …), wat het beheer, de toegankelijkheid en het hergebruik bemoeilijkt. Deze content wordt bovendien niet uitsluitend gebruikt voor communicatie- en publicatiedoeleinden, maar maakt ook deel uit van interne werking en dossiervorming. Momenteel ontbreekt een uniforme en structurele aanpak voor het beheer van beeldmateriaal, inclusief de opvolging van gebruik en bewaartermijnen.
Hierdoor blijft content vaak langdurig beschikbaar zonder duidelijke opvolging van relevantie of gebruik. Het provinciebestuur Vlaams-Brabant wenst daarom over te gaan tot de aankoop van een Digital Asset Management-oplossing die inzetbaar is binnen de volledige organisatie. De oplossing moet het beheer, de toegankelijkheid en het hergebruik van digital assets ondersteunen, en daarnaast toelaten om op een gestructureerde en gebruiksvriendelijke manier lifecycle-informatie (zoals metadata, statussen en bewaartermijnen) te beheren.
De oplossing moet geschikt zijn voor verschillende diensten met uiteenlopende noden op vlak van beheer, toegankelijkheid, rechten en hergebruik, en moet flexibel kunnen omgaan met zowel intensief gebruik als meer ondersteunende toepassingen binnen de werking van de organisatie.
